Youth sports picture day checklist
A smooth picture day makes everything after it faster: culling, names, composites, memory mates and lab orders. Use this checklist for your next league.
Before picture day
- Get the official roster from the league with player names, jersey numbers and team names.
- Check the spelling of names with the league. Fix it here, not after printing.
- Make a schedule with a time slot for each team, with room for late teams.
- Send families the order form or prepay link, and a sample composite and memory mate.
- Prepare a roster CSV if you plan to keep camera file names.
- Charge batteries, format cards, pack backup gear and a backdrop.
On picture day
- Use the same background, lighting and distance for every headshot so the crops match.
- Photograph a name card or sign before each player. It's the best backup for matching names.
- Frame headshots a little loose. Composites and 8 × 10" prints crop some of the image.
- Shoot the team photo for each team, a little wider than you think you need.
- Photograph coaches too, so they appear on the composite.
- Keep a log of teams and the file numbers for each one.
After picture day
- Cull and edit, then export the selects as JPEGs into one folder per team.
- Name the files like
Ava_Martinez_4.jpg, or match them with the roster CSV. See how to name sports photos. - Name each team photo
Team.jpg. - Make the composites and memory mates for the whole league at once with RosterFrame.
- Proofread every name and number one more time.
- Check sizes and resolution with the print size calculator, then send the files to your lab.
- Deliver orders and send the league a sample of the composites.
